ZenApply ("we," "our," or "us") operates the ZenApply web application at zenapply.app and the ZenApply Auto-Fill browser extension (collectively, the "Service"). This Privacy Policy explains how we collect, use, and protect your information when you use our Service.
When you create an account and set up profiles, we collect:
Account information: name, email address, and password
Profile data: personal details, work experience, education, skills, and other job application information you choose to provide
Uploaded documents: resumes and cover letters
The ZenApply Auto-Fill browser extension collects the following data to provide its core functionality:
Authentication tokens: Stored locally in browser storage to keep you signed in
Profile data: Synced and cached locally for fast form filling
Page content: The extension reads form field labels and structure on job application pages to match them with your profile data. We do not store or transmit page content to our servers beyond what is needed for AI-powered field matching.
We collect basic analytics data to improve our service, including usage patterns and feature engagement. We use PostHog for product analytics and Sentry for error tracking. No personally identifiable browsing history is collected.
We use your information exclusively for the following purposes:
To provide the auto-fill functionality for job applications
To sync your profiles between the web dashboard and browser extension
To use AI-powered form field matching to accurately fill application forms
To improve the Service through anonymized analytics
To send you important service-related communications
We do not sell, trade, or transfer your personal information to third parties. Your data is only shared in the following limited circumstances:
Service providers: We use trusted third-party services (cloud hosting, AI processing) that may process data on our behalf under strict confidentiality agreements
Legal requirements: If required by law, regulation, or legal process
Your data is stored on secure servers with encryption in transit (TLS/SSL) and at rest. Authentication tokens are securely hashed. We implement industry-standard security measures to protect your information against unauthorized access, alteration, or destruction.
The ZenApply Auto-Fill extension requests the following permissions, each used solely for its stated purpose:
activeTab: To detect job application forms on the current page and display the auto-fill button
storage: To store authentication tokens and cached profile data locally
scripting: To inject content scripts that detect form fields and populate them with your profile data
Host permissions: To communicate with the ZenApply API and to detect forms on supported job platforms
You have the right to:
Access and download your personal data
Update or correct your information at any time through the dashboard
Delete your account and all associated data
Disconnect the browser extension, which removes all locally stored data
We retain your data for as long as your account is active. If you delete your account, all personal data is permanently removed from our servers within 30 days. Locally stored extension data is removed immediately when you disconnect the extension.
Our Service is not intended for users under the age of 16. We do not knowingly collect personal information from children.
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date.
